Executive Assistant

Our executive team often wish they had an extra pair of hands to help projects and daily operations run more smoothly. This is why we are hiring for a flexible and pro-active executive assistant.

The successful candidate will be trusted as first line of communication with visitors, organising day-to-day activities and managing inbound requests for the management team. The successful candidate will work as a dedicated assistant to one or more of the company officers (CEO, CTO), gaining insight into business development, recruiting, HR, strategy, market research, board meetings, executive processes and event/project management.

  • Is a highly proficient user of office tools (word processing and spreadsheets essential)
  • Is timely and efficient in completing tasks
  • Is a great team player and champion of our core company values
  • Has great communication skills
  • Is great at time-management, scheduling and planning
  • Takes initiative to deliver professional support to both team and guests 

We would be extra excited to have a candidate with:

  • Executive support experience
  • Business training, e.g. MBA
  • A good understanding of business financial processes, budgets and forecasts
  • Project management experience

Typical responsibilities include:

  • Organise and schedule meetings
  • Taking minutes at meetings, prepare meeting agendas
  • Undertaking research to inform the management team
  • Managing the diaries and schedules of senior management
  • Communicating with board members, scheduling board meetings
  • Organising media appearances and events
  • Manage projects and follow up with bizdev, science or other functions where required
  • Supporting business processes for HR, hiring, onboarding staff, training in company operations
  • Liaising with product or development team to support daily operations
  • Supporting marketing activities, such as helping to organise and run events

The role may be defined as permanent or as a limited-term contract/internship. In the case of an internship the limited term-contract may result in an offer of a role within HR or business development or other aspects of the business depending on individual performance and professional interests.
